Apprenticeship summary

Sales Admin.

  • Processing Sales Orders - ensure all approvals for discounts & terms are attached, send to finance & send call down to supplier
  • SF Assets - Assign Assets to customer/partner
  • Ensure fulfilment of online orders - Monitoring Shopify and using Salesforce and Code meter to generate software licenses (Automation improvements in Q4 - responsibilities moves to checking data & shipping dongles only)
  • RMAs - Manage sales process for RMAs outside Warranty period
  • Salesforce Data - Maintain and update Salesforce database of contacts & accounts, and ensure new customers are setup correctly on Salesforce for Finance Process
  • Demo stock - Maintain inventory of demo stock, and ensure sure tracking systems are updated
  • General - Monitor Sales group email inbox for inbound sales & order requests
  • Provide cover for Sales Managers while on the road - creating quotes etc.
  • Partners - Assist in looking after all EMEA partners, including Sales Partner Contract Administration

Marketing Event Support.

  • Open House scheduling - help define best schedule that works with partners, shipping dates. Venue research and bookings
  • Managing stand builders - key contact with stand builders, looks after all quotes, technical drawings, brand artwork specs & deadlines
  • Event Leads - booking show scanning system, setting up correctly for disguise. Getting team at show set up on own devices
  • Meetings - setting up and looking after team calendar for Sales team meetings, booking of meeting spaces on booth, front of house, greeting guests. Team breaks
  • Operations - helping to pack all tech and marketing equipment at HQ for shipment to events. Booking electricity preshow, during show, lead scanners, cleaning, freight load in & out, CEVA on site storage for flight cases, booking build dates. Booking couriers or working with Operations team to ship demo kit & marketing materials to trade shows, open houses & partner events
  • Promotion - Tracking sign ups before and coordinating with marketing to promote various events where needed
  • Marketing materials - ensuring all marketing materials & branding is effectively displayed on trade show booth (business cards, brochures & stands, banners, logos). Ensuring the right materials and amounts are at open house and partner events
  • Hospitality - arranging all catering / drinks requirements for different events. Booking restaurants for client dinners, off site venues, canal boat trips etc.
  • Booth build - Helps to oversee booth build to specific events (with Tech Solutions & Support) making sure stand builder is working to schedule, quality of finish, physical design works etc.

General Responsibilities.

  • Travel Administration - Responsible for facilitating travel and lodging for team as needed
  • Regional cover - Sales Admin cover for other regions to ensure 24-hour cover @ EOM and over holiday periods
  • EMEA Partners - ensure all EMEA Sales, Rental, Studio & CSP Partners are up to date, quarterly audit with sales team & checking against SF assets. Key contact for partners marketing requirements
  • Swag - for EMEA sales team and HQ, ordering, organising, keeping stock
  • Weekly wage
